Privacy Policy

Effective Date: July 31, 2026 (replaces the version dated 10/7/24)

Worxweb Solutions LLC ("Worxweb," "we," "us," or "our") provides recruiting, staffing, and related technology services. This Privacy Policy describes how we collect, use, share, and protect personal information when you use worxwebsolutions.com, our job board and application forms, and our recruiting services (together, the "Service"), and explains the choices and rights you have. This policy applies to our website and job board wherever they are hosted, and to information we collect during the recruiting process.

We do not sell your personal information, and we have not sold personal information. We share it only as described in this policy.

INFORMATION WE COLLECT

Information you provide:

  • Identity and contact details: name, email address, phone number, city and state, and mailing address where you provide it.
  • Application materials: resumes, work history, screening question answers, licensing and certification details, compensation expectations, and anything else you include in an application or form.
  • Communications: emails, text messages, and — with the consent described below — recordings and transcriptions of phone and video calls with our team.
  • Consent records: when you check a consent box we store the language you saw, its version, the date and time, and your IP address, so we can honor and prove your choices.

Information collected automatically: device and browser type, IP address, pages visited, referring URLs, and campaign parameters (such as UTM codes) that tell us how you found a job posting. We use Google Tag Manager and Google Analytics for site analytics and Google reCAPTCHA to protect our forms; these tools set cookies or similar technologies. You can control cookies through your browser settings.

Information from others: job boards and advertising platforms that forward your application or click data, referrals, and our employer clients in connection with roles you are being considered for.

HOW WE USE INFORMATION

  • Recruiting: to evaluate your application, match you with the role you applied to (and, where you have separately consented, other roles), schedule interviews, and communicate with you through the hiring process.
  • Providing services to employer clients: sharing candidate information with the specific client whose role you applied to or are being considered for.
  • Communications: transactional messages about your application or engagement. Marketing communications — including any autodialed, prerecorded, or AI-generated calls or texts — are sent only with your prior express written consent, collected through a separate, clearly labeled checkbox at the point you provide your contact information. Consent is never a condition of applying or of being considered for a job. Reply STOP to any text, use the unsubscribe link in any email, or email privacy@worxwebsolutions.com to opt out at any time; opt-outs are honored promptly across channels.
  • Call recording: where calls are recorded, you will be told at the start of the call and recording proceeds only with the consent of everyone on the call, consistent with Florida law and other all-party consent states. Recordings and transcriptions are used for quality assurance, compliance, and training our team.
  • Automated processing and AI: we use software, including artificial intelligence, to help organize applications and match candidates to roles (for example, comparing a resume to a job's requirements). These tools assist our recruiters; a human is involved in hiring recommendations. We may also use data we have lawfully collected, in de-identified or aggregated form where practicable, to improve these tools. You may request human review of any automated screening outcome, or ask what automated processing was involved in your candidacy, by contacting privacy@worxwebsolutions.com. Where a state or local law (such as New York City Local Law 144 or the Illinois Human Rights Act) requires specific notice about automated employment decision tools, we provide it in the application flow for covered roles.
  • Security, legal, and operations: maintaining and securing the Service, preventing fraud and abuse, enforcing our Terms of Use, and complying with law.
  • Referral program: administering referrals and rewards where you participate.

HOW WE SHARE INFORMATION

We share personal information only with:

  • Employer clients — the company whose role you applied to or are being considered for, so they can evaluate your candidacy;
  • Service providers — vendors who work on our behalf under contract (hosting, applicant tracking, email and SMS delivery, e-signature, analytics, payment processing) and may use the data only to provide their service to us;
  • Legal and safety — where required by law, subpoena, or to protect the rights, safety, or property of Worxweb, our candidates, clients, or others; and
  • Business transfers — in connection with a merger, acquisition, or sale of assets, subject to this policy.

We do not sell personal information, and we do not share it with third parties for their own marketing.

DATA RETENTION

  • Application and candidate records: retained while your candidacy is active and for up to 3 years after our last meaningful contact, to consider you for future roles (with your consent) and meet record-keeping obligations, then deleted or de-identified.
  • Call recordings and transcriptions: retained for up to 12 months unless needed for an active engagement, dispute, or legal obligation.
  • Consent and opt-out records: retained for as long as needed to honor and demonstrate your choices, including after you opt out.
  • Website analytics data: retained per our analytics providers' standard settings.

SECURITY

We use reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of the data, including encryption in transit, access controls limiting candidate data to personnel who need it, and vendor security review. No system is perfectly secure; if a breach affecting your personal information occurs, we will notify you as required by law.

YOUR PRIVACY RIGHTS

Depending on your state of residence (including under the California Consumer Privacy Act and similar laws in Colorado, Connecticut, Texas, Virginia, Oregon, Montana, and other states), you may have the right to:

  • know and access the personal information we hold about you, including the categories collected, the sources, and the purposes;
  • correct inaccurate personal information;
  • delete your personal information, subject to legal exceptions;
  • receive a portable copy of information you provided;
  • opt out of targeted advertising and profiling in furtherance of decisions that produce legal or similarly significant effects (see the automated processing section above for how to request human review); and
  • not be discriminated against for exercising any of these rights.

To exercise any right, email privacy@worxwebsolutions.com with your name, contact information, and the request. We will verify your identity (typically by matching the email or phone number on file), respond within the time required by your state's law (generally 45 days), and explain any denial. You may appeal a denial by replying to our response with "Appeal" in the subject line; appeals are reviewed by a different team member. You may use an authorized agent to submit requests with proof of authorization. Because we do not sell or share personal information for cross-context behavioral advertising, no "Do Not Sell or Share" opt-out is required; if our practices ever change, we will update this policy and provide the required opt-out mechanisms first.

CHILDREN

The Service is intended for adults 18 and over. We do not knowingly collect personal information from children under 16; if you believe a child has provided us information, contact us and we will delete it.

WHERE DATA IS PROCESSED

We operate in the United States, and the Service is intended for U.S. users. If you access it from elsewhere, your information will be processed in the U.S.

CHANGES TO THIS PRIVACY POLICY

When we make material changes we will update the Effective Date above and provide reasonable advance notice on the Service (and, where appropriate, by email) before the changes take effect. Changes apply prospectively.
